Lawn Care and Snow Removal Services

London City Schools

Project Overview

London City Schools (LCS) is seeking proposals from qualified vendors to provide comprehensive lawn care services and snow removal for all academic and athletic campuses within the London City Schools district for the 2024-2025 school year. The selected vendor will be responsible for maintaining the aesthetic appeal and safety of our campuses throughout the year, including regular lawn and tree care, seasonal cleanups, mulching, and efficient snow removal during the winter months.

District Overview

The London City School District educates approximately 2,300 students in one elementary school, one middle school, and one high school on a centralized campus just north of downtown London. The district comprises 47 square miles and includes the City of London, the community of Lake Choctaw, and portions of Union, Deer, Creek, Paint, and Oak Run Townships in Madison County. London, Ohio is a city of approximately 11,000 citizens and serves as the county seat of Madison County. It is strategically located at the western edge of metro Columbus. London has experienced continual, modest population growth throughout its history. 

While London serves as a bedroom community to Columbus, it is also home to several large employers including Stanley Electric, Nissen Chemitec America, and Madison Health. The Ohio Bureau of Criminal Investigation is also housed in the city. Agriculture has played an important role in London’s past and continues to be important for future success. Ohio State’s Farm Science Review, one of the nation’s largest agricultural trade and education shows, is located within the district just miles north of campus. Services Requested

The London City School District requires the following services:

  1. Lawn Care:

    1. Mowing all grass areas on a regular schedule during the growing season (spring, summer, and early fall).

    2. Trimming and edging along sidewalks, pathways, and landscape beds.

    3. Fertilization, weed control, and pest management as needed to maintain healthy turf.

    4. Aeration and overseeding as required for lawn health and rejuvenation.

  2. Tree Care:

    1. Pruning trees to maintain shape, remove dead branches, and ensure safety.

    2. Inspection for signs of disease, infestation, or hazardous conditions.

    3. Mulching around trees for moisture retention and weed suppression.

  3. Fall/ SpringCleanup:

    1. Remove leaves and debris from all lawn and landscape areas.

  4. Mulching:

    1. Installation of mulch in landscape beds as needed for moisture retention, weed suppression, and aesthetic enhancement.

    2. Selection and application of appropriate mulch materials based on campus landscaping requirements.

  5. Snow Removal:

    1. Prompt and thorough snow plowing and/or shoveling of driveways, parking lots, sidewalks, and pathways on campus.

    2. Application of de-icing agents as necessary to prevent ice buildup and ensure safe passage.

    3. 24/7 availability for snow removal services during winter weather events.

Timeline

  • March 28, 2024- Request for Proposal Released

  • April 1st- April 12th, 2024- Campus site visits/ walk-throughs

  • April 19, 2024- Deadline for Proposals (5 pm).

  • Week of April 29th, 2024- Notification of contract

  • August 1st, 2024- Service Begins

Proposal Format

All proposals should include a one-page summary of services including company name, contact information, a summary of services, and total proposed cost.

Proposals to be submitted in (2) parts:

  1. Lawn Care Service

  2. Snow Removal

Vendors may demonstrate strategies in which they plan to meet/exceed the requirements of this request in any manner provided all requirements are addressed and the information is submitted digitally. 

Proposal Submittal Process

All proposals should be submitted electronically via email to Assistant Superintendent, Carla Shaw @ carla.shaw@london.k12.oh.us by 5 pm on Friday, April 19th, 2024.

All campus site visits, walk-through requests, or questions regarding this RFP should be directed to Mr. Tim Carter, Director of Facilities and Maintenance via tim.carter@london.k12.oh.us before the April 19th, 2024 deadline. 

Selection Criteria

Submitted proposals will be evaluated based on the following criteria:

  1. Demonstrated ability to meet/exceed requested requirements.

  2. Cost and the ability to assist with grant funding.

  3. Ability to meet the requested timeline.

  4. Experience with working within a school setting.

  5. Professional references.

The London City Schools Board of Education reserves the right to waive informalities, and to accept or reject any and all, or parts of any and all proposals.
